How to chase a late invoice without being rude
5 min read
The work is done and the invoice is sent. Then nothing. A week goes by, then two. You don't want to nag, Mrs Khumalo was friendly and you'd like the repeat work, so you leave it. Money you earned in an afternoon takes 45 days to land in your account.
You're not bad at running your business. Chasing money just feels rude, and most people avoid it. But a calm, regular follow-up gets you paid sooner, and it makes you look more professional, not less.
Late payment costs more than it looks
You've already paid for the materials. You've already done the labour. Every day the invoice sits there unpaid, your own cash is funding someone else's geyser. For a one or two person operation, that's the difference between buying stock for the next job and having to turn it down.
Most people who pay late aren't dodging you. The invoice just slid down their to-do list. A polite reminder does them a favour by putting it back near the top.
A follow-up that actually works
Decide the wording once, up front, so you're not writing an awkward message from scratch every time. Three messages, spaced out, each one a little firmer than the last.
Around day 3, keep it light:
Hi Mrs Khumalo, hope the new geyser is sorted. Just a reminder that invoice INV-0001 for R8 500 is due. You can pay here: [link]. Thanks!
Around day 7, make it clear it's now overdue:
Hi Mrs Khumalo, following up on invoice INV-0001 (R8 500), which is now a few days overdue. Could you settle it when you get a chance? Payment link: [link]. Let me know if there's a problem.
Around day 14, be direct, but stay calm:
Hi Mrs Khumalo, invoice INV-0001 (R8 500) is two weeks overdue now. Please could you arrange payment this week? If something is holding it up, message me and we'll sort it out. Link: [link].
None of these threaten or guilt-trip. You can be hard to ignore and still be polite. Firm and rude are not the same thing.
Let it run on its own
The reason this works is that it happens every time, on schedule. That's also the part a busy tradesman can't keep up with by hand. You're on a roof, not watching a payments calendar.
So hand it off. Set the reminders once and let them go out on day 3, 7 and 14, and have them stop the moment the customer pays. No forgetting, no awkward typing, no spreadsheet.
That's what KwikQuote's chase ladder does. Every unpaid invoice gets a polite, on-time follow-up, in English or Afrikaans, and you only hear about it when the money comes in.
You did the work. The money is owed. A clear, friendly reminder respects both you and the customer, and the people who get paid on time are usually just the ones who follow up without fail.
