This page explains how to request deletion of personal information that KwikQuote (Pty) Ltd ("KwikQuote", "we", "us") holds, including any information received through the WhatsApp Business Cloud API. It supplements Section 8 of our Privacy Policy and applies our obligations under the Protection of Personal Information Act, 4 of 2013 ("POPIA").
1. Tradesman account holders
If you have a KwikQuote account, log in and go to Settings → Danger zone for the current deletion instructions. During the founders' beta, account deletion is handled by our team: email support@kwikquote.co.za from your account email address with the subject line "Delete my data". We will verify your identity and permanently delete your account — including your business profile, price book, customers, conversations, quotes, and invoices — within 30 days, subject to the legal record-keeping exception in Section 4.
2. End-customers (people quoted by a tradesman)
If a tradesman forwarded your WhatsApp messages, name, phone number, or proof-of-payment to KwikQuote, that tradesman is the responsible party for your information and KwikQuote processes it on their behalf. To have it deleted:
- Contact the tradesman who quoted you and ask them to delete your information — they can do this from their KwikQuote dashboard; or
- Email support@kwikquote.co.za with your WhatsApp number and, if known, the business that quoted you. We will locate the records and either delete them or forward your request to the responsible tradesman, and confirm back to you within 30 days.
3. What gets deleted
A deletion request removes: forwarded WhatsApp messages (text, voice notes, photos, PDFs), voice-note transcripts, extracted quote data, customer names and phone numbers, proof-of-payment images, and associated quote, invoice, and chase history.
4. What we are legally required to retain
South African tax law (s29, Tax Administration Act) requires us to retain certain financial records — issued invoices and payment records — for 5 years. Where we must retain such records, we restrict and de-identify them as far as possible and delete everything not subject to that obligation. See Section 7 of the Privacy Policy.
5. How long it takes
We confirm receipt of every deletion request and complete it within 30 days. If a request affects records held on behalf of a tradesman, we will tell you who the responsible party is and what we have done.
