Quote while you still have the job

4 min read

You finish up at the customer's house. They say "send me a quote." You mean to do it that night. Then there are three more jobs, two days go by, and the quote is still in your head or scribbled on a slip in the bakkie.

By the time you send it, the customer has already phoned two other guys. The job is gone, and you never even knew you were competing for it.

A fast quote wins the work

On small jobs the first proper quote usually wins, and it's often not the cheapest one. A homeowner with a burst geyser doesn't want to collect three quotes over a week. They want it sorted today. Whoever replies first, and looks the part doing it, tends to get the nod.

The numbers back this up. Reply within the hour and you win the job far more often than if you only get back to them the next day. For emergency work like plumbing or electrical, that window is even shorter.

Why "I'll do it tonight" falls apart

It isn't laziness. Quoting properly is just a hassle. You have to remember the job accurately, work out materials and labour, type it up so it looks halfway decent, then add your banking details and terms. Each step is small on its own. Stack them together at the end of a long day and the quote slides to tomorrow, then to never.

Meanwhile the customer's phone is buzzing with replies from people who quoted on the spot.

Make quoting take 90 seconds

Trying harder won't fix this. Cutting the hassle will, until sending a quote on the spot is genuinely easier than putting it off. In practice that looks like three things.

First, capture the job once, while you're still standing there. A quick voice note does it: "Mrs Khumalo, Bryanston, 150 litre Kwikot geyser, supply and install today, around R8 500 all in." Ten seconds.

Second, turn that into a quote without retyping anything. Forward the voice note to KwikQuote and it pulls out the customer, the job, the line items and the total.

Third, check it and send. Glance over the draft, fix anything that's wrong, and send the PDF with a PayFast link already on it straight to the customer's WhatsApp.

The job that used to wait until "tonight" now goes out before you've packed up your tools.

It also makes you look ready

A quick, tidy quote tells the customer you run a real business, not a weekend side hustle. And the customer who didn't go with you on the geyser still remembers that quote when the DB board trips six months later.

Slow quotes lose you work you never even hear about. Send it while you've still got the job.
