Capture the job in the customer's own words
The best quote starts from what the customer actually said, not from your memory of it two hours later. So don't summarise yet. Just keep the source.
If they sent a voice note describing the job, that's your input. If they sent a photo of the broken gate or the damp patch on the ceiling, that's your input too. If they typed it out, even better. The point is you already have the job description sitting in the chat. You don't need to recreate it.
Where people lose it is trying to hold three or four of these in their head across a day. By five o'clock you've mixed up which geyser was 150 litres and which customer was in Bryanston versus Randburg.
Turn the message into a draft, not a typing job
This is the step that usually kills a quote. Turning a rambling voice note into tidy line items with materials, labour and a total is real work, and it's the boring kind you put off.

Is the total what you'd actually charge, or does this job have a catch the voice note didn't mention, like a second storey or a wall that needs chasing? Fix the line items, nudge the total, done.
Never send a quote you haven't looked at. A number that's wrong by a thousand rand is worse than a slow quote. The whole point of getting the draft in seconds is that you have time to sanity-check it and still reply the same hour.
Send it as something the customer can act on
When you're happy, send it. The customer gets a proper PDF on their WhatsApp with your logo and banking details on it, and a PayFast link they can tap to pay a deposit right there.
That last part matters more than it sounds. A quote the customer can pay immediately, from the same chat they're already in, gets accepted while they're still keen. A quote that ends with "let me know and I'll send you my banking details" gives them a reason to go quiet.
And because it's a real PDF, they can forward it to whoever signs off the money at their house. Your mumbled phone number can't be forwarded to anyone.
